1. Am I eligible for this software?

Microsoft classify eligible staff, faculty and students as follows:

“Faculty” means any employees, contractors and volunteers who teach or perform research for Institution for more than 200 hours per annum and use an Institution Qualified Desktop

“Staff” means any non-Faculty employees, contractors and volunteers who perform work for Institution for more than 200 hours per annum and use an Institution Qualified Desktop

“Student” means any student enrolled in any educational institution that is part of Institution’s Organisation whether on a full-time or part-time basis.

2. Can I use my @ncl.ac.uk address to log in and register for this software?

No, you must use your university login name followed by @newcastle.ac.uk address to register. For example nxx10@newcastle.ac.uk

3. If this is a personal benefit why am I using my University credentials to log on?

Your University credentials provide Microsoft with confirmation you have an active computing account here at Newcastle. This is a unique benefit of working at a University and isn’t widely available in other industries.

4. How do I get access to Microsoft 365 software for my computer?

Microsoft 365 ProPlus is provided as a download. You will require a good internet connection and will need to stay on-line until it is installed. The only difference between this and other software you may have is once installed you need to sign in periodically to keep the products activated. This happens in the background provided you regularly go online and remain signed in to the applications.

5. How many computers can I install it on?

You can install Microsoft 365 ProPlus on up to 5 PC and/or Mac computers, 5 tablets (iPad or Windows). Office mobile applications are also accessible on iPhone and Android phones and automatically included with all Windows phones.

6. What if I use up my 5 allotted installs?

In the Microsoft 365 portal, you can deactivate existing Office installations.

7. Can I install Office 365 ProPlus on my family's computer or share it with a friend?

You can only install Microsoft 365 ProPlus on your own personal computers, tablets, and phones. Microsoft 365 ProPlus is provided using a subscription model which uses your unique Newcastle University credentials to make sure you are authorised to use it. If you install it on someone else's computer you would be sharing your personal credentials.

8. I have an existing copy of Office on my computer, will Microsoft 365 ProPlus still install?

Yes, it will run alongside your existing installation. You can have multiple versions of Microsoft Office installed on your computer. We suggest not uninstalling your previous version of Office unless you have your product key available to reinstall it at a later date.

9. Is Microsoft 365 ProPlus the full version of the software?

Yes, all downloaded computer software are full versions.

10. Can I have Microsoft 365 ProPlus installed on my University-owned computer?

If you have a Windows computer provided by the University, you are likely to have Office installed already.  If this is not the case, and you wish to use Office on the computer, then please contact the IT Service Desk.

If you have a Mac OS computer provided by the University, you can install Microsoft 365 ProPlus, provided you have admin rights to your machine.  If you do not have admin rights, and require Office, please contact the IT Service Desk.

11. What happens when I leave?

The software is deactivated when your campus computer account is removed after you leave the University. If you wish to continue to use the software you can purchase a subscription. Any documents that you have created and stored in your personal OneDrive online space will also still be accessible.

12. How do I get access to Microsoft 365 ProPlus software for my mobile device?

These will be listed in the app store on your chosen device and can be downloaded as you would any other app. Simply type Microsoft into the search field to see what’s available.

13. How do I store documents on my mobile device (i.e. iPad)?

An iPad doesn’t come with an actual file saving structure. You are able to save documents within the app itself (useful for offline access) but it's recommended that you link Office for iPad with your chosen storage solution (OneDrive, iCloud, DropBox).

14. What is OneDrive and how do I get it?

Microsoft currently offers free personal OneDrive storage. You can link this with your Office 365 ProPlus applications across all your devices. More information on using OneDrive can be found on the Microsoft website.

Faculty and staff may be given access to Newcastle University OneDrive for Business in the future. We advise you not to create a OneDrive personal account using your @ncl.ac.uk or @newcastle.ac.uk email address to avoid any potential future problems.

15. I recently purchased Microsoft Office, will I receive any credit and/or compensation?

No. However, depending on which consumer version of Office you purchased, it may come with additional features you may find beneficial. Office 365 University, for example, offers 60 minutes per month of Skype Premium.

16. What support is available for this software?

This software is provided by Microsoft as a personal benefit to University staff and students. Should you require assistance, Microsoft have provided detailed support information (see links below). If you encounter any sign-up/access issues, please contact the University IT Service Desk.
