Digital
This section contains the instructions for using Openstage and Optipoint Economy/Basic/Standard/Advance digital phones.
Making & Answering a Call
- Use handset or press LOUD SPEAKER key to answer
- To dial internal number - lift handset or press LOUD SPEAKER key and dial the required four-digit University extension
- To dial an external number - lift handset or press LOUD SPEAKER and dial 9 followed by the required number
Call Pickup of another Phone
- If the ringing phone is within your pickup group, lift handset and press *3
- If the ringing phone isn't within your pickup group, lift handset and press **3 followed by the number of the ringing extension you wish to pick up
Putting a Call On Hold
- Display shows "Consultation?" press OK or TICK
- Display shows "Please dial return to held call?" then "time exceeded return to held call?"
- To return to held call press OK or TICK
To Transfer a Call
- Display shows "Consultation?" press OK or TICK and key in required number
- When answered replace handset (if you are announcing the call, wait for an answer then replace the handset)
- To return to held call, display shows "Return to held call?" press OK or TICK
Conference Calls
- Dial first participant and when connected the display will ask "consultation?"
- Press OK or TICK key
- Dial second participant and when answered "release and return?" will be displayed
- Press RIGHT ARROW key until "conference?" is displayed and then press OK or TICK key
- Each additional party to the conference can be added one at a time by repeating step 4 above until "add to conference?" is displayed
Callback
To set:
- If number dialled is engaged or not answered
- Display will show "Callback?" press OK or TICK key
- Replace handset and when the extension becomes free or is next used your phone will ring to advise you
- Pick up handset and you will be connected
To cancel a callback set on your phone (before your phone rings to advise you that the extension has become free):
- Press the RIGHT ARROW key until "Display Callbacks?" is displayed then press the OK or TICK key
- Press the RIGHT ARROW key until "Delete?" is displayed then press the OK or TICK key
To cancel a callback set on your phone (whilst your phone is ringing to advise you that the extension has become free):
- The display will show "Cancel Callback?" press the OK or TICK key
Last Number Redial
Press LAST NO REDIAL key or lift handset and press OK or TICK key when "Last number redial?" is displayed
Individual Speed Dialling
Each telephone user has the ability to store 10 destinations via the handset keypad
To store:
- Press the SERVICE MENU key and when "Destinations?" is displayed press OK or TICK key
- Press RIGHT ARROW key until "Speed Dialling?" is displayed and press OK or TICK key
- Press the required location key 00-29 and "Nothing stored" will be displayed
- Enter the number you wish to store (not forgetting to prefix with 9 for outside line) then press OK or TICK key on "Save?"
To use:
- Lift handset
- Press SERVICE MENU key
- Press RIGHT ARROW key until "Use speed dialling?" is displayed then press OK or TICK key
- Press the required location key 00-29
Adjusting Ringer Volume & Pitch
- Press the + key without picking up the handset
- Press 1 or OK or TICK key when display says "ringer volume?" to adjust the ringer volume
- Press 2 or press RIGHT ARROW key and then OK or TICK when display says "ringer pitch?" to adjust the ringer pitch
- Use the + or - key to adjust the ringer volume/pitch to desired level
- Press OK or TICK key to set
- To adjust handset volume during call use the + or - key
Logging in to and out of a hunt group
- Press the SERVICE MENU and scroll right till Feature Settings is displayed
- Press OK or TICK
- Scroll right till Join Hunt Group is displayed
- Press OK or TICK
- The screen will display either "Hunting group is off" or "Hunting group is on"
- "Activate ?" or "Deactivate ?" will be displayed
- Press OK or TICK to select the option required
Manager / Secretary Feature
( This feature can only be set up by request to Telecoms )
A basic Manager / Secretary function is available for Digital phones only. It is possible to have up to 4 Managers and 2 Secretaries in each group. The basic function is that calls for a Manager will be diverted to a Secretary and this can be controlled by either party.
- Ring Transferfunction to allow the Manager to take own calls. Controllable by key at either Manager or Secretary. When activated, a LED is lit on both phones.
- DSS-Direct Station Select Key Both the Manager and Secretary have a DSS key for each other. When pressed they will ring the other extension. If a call is ringing on the partner extension then the relevant DSS key will flash. Pressing this key will answer the call. The Secretary can transfer the call to the Manager by pressing the DSSkey of the Manager, this automatically puts the caller on hold, allowing the Secretary to announce the call and upon replacing the handset put the call through.
- PUS - Pick up from Secretary Key When the secretary is engaged on a call and a call for the Manager comes in, the PUS key will flash. By pressing this key the current call is held. The call can be transferred by using the DSS key. Once transferred the original call is restored.
Additional features of Manager / Secretary Feature
- Alerting tone to Secretary if already on the phone and a call comes in for Manager
- Different ring tone when Manager and Secretary call each other.
- Representative facility to allow a nominated user to take Managers calls when secretary is unavailable e.g. lunchtimes.
